Gmail, Yahoo and Outlook sender rules

What Gmail, Yahoo and Microsoft now require before they deliver your email, and who counts as a bulk sender.

Who counts as a bulk sender

Gmail treats anyone sending around 5,000 or more messages a day to Gmail addresses as a bulk sender, and once you hit that level you are treated as one from then on. Yahoo uses a similar threshold, and Microsoft applies its rules to domains sending more than 5,000 a day to Outlook.com, Hotmail and Live addresses.

What each one asks for

RuleAll sendersBulk senders
SPF or DKIMRequiredBoth required
DMARC, at least p=noneRecommendedRequired
From domain matches SPF or DKIMRecommendedRequired
One-click unsubscribeRecommendedRequired for marketing
Spam complaints under 0.3%RequiredRequired

Gmail and Yahoo began enforcing these rules in February 2024. Microsoft started on 5 May 2025. Mail that fails can be sent to spam or refused outright.

Cold email usually stays well under 5,000 a day per domain, but the same rules decide whether your mail is trusted, so set all three records on every sending domain.

See where you stand

The full domain scan checks SPF, DKIM, DMARC, MX and blacklists in one go and shows whether you pass each provider’s rules.
